We are looking for a proactive Personal Assistant who can partner closely with the CEO to keep SAI Technology running smoothly day-to-day.

SAI Technology builds modern software solutions for African businesses, from custom systems and SaaS platforms to full digital transformation. We partner with SMEs and enterprises across logistics, mobility, property management, retail, and professional services. Our team delivers end-to-end: strategy, design, engineering, deployment, and ongoing platform support.

Role Summary

You will manage the CEO’s schedule, communications, and follow-ups while coordinating across teams and external partners. You will prepare briefs, track action items, and handle logistics so leadership can focus on strategy and delivery.


Key Responsibilities

1. Executive Support

  • Own the CEO’s calendar: schedule meetings, resolve conflicts, and prepare agendas
  • Coordinate travel, lodging, and meeting logistics for local and international trips
  • Triage emails/messages and draft responses or talking points when needed
  • Prepare meeting briefs, follow-up notes, and ensure materials are ready in advance

2. Operations & Coordination

  • Track action items from leadership meetings and nudge owners on deadlines
  • Help coordinate cross-functional work between product, engineering, and sales
  • Liaise with clients, partners, and vendors for scheduling and light account coordination
  • Support basic project tracking and status reporting

3. Communication & Documentation

  • Capture meeting minutes and distribute clear summaries with next steps
  • Maintain organized files, contracts, and reference docs in Notion/Google Drive
  • Create light decks, letters, or proposals from templates when needed

4. Office & Event Logistics

  • Arrange on-site meetings, workshops, and small team events
  • Oversee office supplies, equipment needs, and courier/errand coordination
  • Assist with expense submissions and simple reconciliations

Requirements

Must-Haves

  • 2–4 years supporting a senior leader or team in an operations/administrative role
  • Excellent organization, calendar management, and attention to detail
  • Strong written and verbal communication; comfortable representing leadership
  • Proficiency with Google Workspace (Docs, Sheets, Calendar, Drive)
  • High discretion with confidential information and sensitive discussions
  • Ability to juggle multiple priorities and keep stakeholders updated

Nice-to-Haves

  • Experience in a tech/startup or consulting environment
  • Familiarity with Notion, Trello/Asana/Linear, Slack/WhatsApp, or CRM tools
  • Event coordination experience (workshops, client meetings, team offsites)
  • Light bookkeeping or expense management exposure

Tools & Workflow Exposure

  • Productivity: Google Workspace, Notion, Slack/WhatsApp
  • Project tracking: Trello, Asana, or Linear
  • Travel & expenses: airline/hotel portals, expense tools such as Expensify
